Fuel Card Audit Checklist: What to Check Every Month

A practical monthly checklist for auditing fuel card spend, built to catch fraud, theft, and card misuse before it hits your budget.

Knowing what a fleet audit is doesn't tell you what to actually check each month. This is the practical version: a checklist for auditing fuel card activity, whatever card or cards your fleet uses.

Before You Start: What You Need

  • Fuel card transaction data for the period, from your card provider(s) or a platform like Fleevo.
  • A current vehicle assignment list: which card belongs to which vehicle or driver.
  • Telematics or mileage data, where available.
  • Last period's flagged items, to confirm they were actually resolved.

The Checklist

  1. Match every transaction to an assigned vehicle. Any transaction on a card with no matching vehicle, or a vehicle that shouldn't have been on the road that day, needs an answer.
  2. Check fuel type against vehicle spec. Diesel on a petrol vehicle, or vice versa, is either a data error or a real problem.
  3. Compare volume purchased to tank capacity. A fill that exceeds the vehicle's tank size, or two full fills in one day, is worth investigating.
  4. Check location against the vehicle's route or telematics position. Fuel bought somewhere the vehicle wasn't is one of the clearest fraud signals available.
  5. Look for same-card, same-day, multiple-vehicle activity. This is the clearest sign of fuel card sharing or misuse.
  6. Review MPG against the vehicle's historical average. A sudden drop can point to fuel theft or a mechanical issue; either way, it needs checking.
  7. Reconcile total spend against invoiced totals. Card provider invoices and your own transaction log should match; gaps point to missing or duplicate data.
  8. Follow up on every item flagged last period. An audit that doesn't close the loop on prior findings isn't actually catching anything.

How Often to Run It

Monthly is the minimum for most fleets. Run it weekly for larger fleets, or for any fleet that has recently changed fuel card provider, driver roster, or vehicle assignments.
